The organisation was running quarterly paperwork appointments for staff, but each department was handling intake differently. Documents arrived without cover sheets, naming was inconsistent, and sign-offs sat unclaimed for days after appointments were completed.
Solution
Red Seal Notary ran the four-week Corporate Workflow Setup programme. The mapping workshop identified three separate intake paths that could be consolidated into one. A shared naming scheme, standard cover sheet, and a sign-off log were introduced across both offices. A half-day team training session covered how to run the new process and where to escalate when something was unclear.

Challenge

Appointments were being scheduled location by location with no central visibility. Two sites regularly overbooked the same room, and the HR team had no way to see how many appointments had been completed across the network without calling each site manually.
Solution
The eight-week Multi-Site Coordination Programme began with site walkthroughs at all five locations. Scheduling models for two different shift patterns were developed and tested in week three. A capacity forecasting tool, reminder communication templates, and a reporting sheet were produced and handed over at week seven, with a review session in week eight to address questions from the team running it day to day.
